How Bernard Property Sales & Lettings Limited collects, uses and protects personal information when you enquire about or book one of our homes.

This notice explains what we do with personal information. It applies to enquiries, bookings and use of this website.

1. Who is responsible for your information

Bernard Property Sales & Lettings Limited, registered in England and Wales under company number 16608573, is the data controller for the personal information described here. You can contact us at info@bernard-property.uk.

2. What we collect

  • Contact details you give us: your name, email address, telephone number and, where relevant, a postal address for correspondence.
  • Booking details: the property, dates, number of guests and any special requirements you tell us about.
  • Messages you send us, including enquiries and anything reported during a stay.
  • Technical information about your visit, such as the pages you view and the browser you use, collected through cookies as described in our cookies page.

3. Why we use it

  • To answer your enquiry and quote a rate for the dates you asked about.
  • To administer a booking, take payment and issue arrival instructions.
  • To provide support during your stay and deal with anything that goes wrong.
  • To keep records required for accounting and tax purposes.
  • To improve this website and understand which pages are useful.

4. Our lawful basis

We rely on performance of a contract for anything needed to provide a booking you have asked for, on our legitimate interests in running and improving the business and answering enquiries, on legal obligation for accounting and tax records, and on consent where you have agreed to a cookie that is not strictly necessary.

5. Who we share it with

We share personal information only where it is necessary: with payment providers to process amounts you have agreed to pay, with the accountants who prepare our statutory accounts, with our website and email providers, and with a public authority where the law requires it. We do not sell personal information and we do not pass it to advertising networks.

6. How long we keep it

Enquiries that do not become bookings are kept for 12 months. Booking records, including correspondence, are kept for six years after the end of the financial year in which the stay took place, which is the period our accountants require. Technical information collected through cookies is kept for the periods stated on our cookies page.

7. Your rights

You have the right to ask for a copy of the personal information we hold about you, to have inaccurate information corrected, to ask us to delete information we no longer need, to object to certain processing, and to ask for information to be transferred in a portable format. Write to info@bernard-property.uk and we will respond within one month. If you are not satisfied with our response you can complain to the Information Commissioner’s Office.

8. Security and transfers

We use access controls and encrypted connections for the systems that hold personal information, and restrict access to the people who need it to run a booking. Where a supplier processes information outside the United Kingdom we rely on the safeguards that apply to that transfer under data protection law.

9. Changes to this notice

If we change how we handle personal information we will update this page and change the date below.
